Step 1
Export feature film (full ceremony to send-off)
H.264 or H.265 for client delivery. ProRes for archive master.
Export highlight film (3-5 min)
Most clients watch this first. Make it count.
Export ceremony edit (uncut)
Many couples want the full vows and readings in one file.
Export speeches in full
Separate file. Parents and best man speeches are often rewatched.

Confirm all contracted deliverables are exported
Cross-check your contract line by line before moving on.
Check audio sync on all exports
Especially on multicam edits. Watch the first kiss and first dance.
Check colour grade is correct in exported files
Exports can look different from your edit monitor. View on multiple screens.
Check audio levels: dialogue clearly audible, music not clipping
-6 dB headroom minimum on music. Dialogue peaking at -12 dB.
Verify file plays from start to finish without corruption
Especially for long files. Scrub through the full timeline once.
Step 2
Watch the highlight film in full before sending
Every send. Not a scrub. A full watch.
Check the opening 10 seconds on each file
First impression. Most common place for encoding errors.
Check the ending of each file plays cleanly
Files sometimes cut early or have corrupt final frames.
Verify names are spelled correctly throughout
Lower thirds, titles, captions. A wrong name on delivery is a bad start.
Verify dates are correct on any titles or graphics
Easy to carry over from a previous project template.
Check any licensed music tracks are properly licensed
Confirm your licence covers the delivery format (stream vs. download).
Check music is not auto-flagged on the delivery platform
Some platforms scan content. Test with a private upload if unsure.
Check resolution and frame rate match what was contracted
4K 25fps vs 4K 30fps matters to some clients.
Review subtitles or captions if contracted
Accuracy and sync. Many clients share videos on social with captions on.
Step 3
Name files consistently using agreed naming convention
Example: Smith_Jones_Wedding_Highlight_2024.mp4. No spaces in filenames.
Group files into a clearly labelled folder
One folder per wedding. Label with couple name and date.
Include a README or contents note if delivering multiple files
Plain text file listing each deliverable and what it contains.
Remove any test renders, draft files, or project temp files from the delivery folder
Clients should see exactly what they are paying for.
Confirm total folder size before upload
Avoid surprises mid-upload. Large ProRes files can exceed free plan limits.
Keep a copy of the delivery folder on your end before uploading
Never send originals. Send copies.
Step 4
Upload files to your delivery platform
TrunkTransfer, WeTransfer, Google Drive, etc. Files go directly from browser to storage.
Set an appropriate expiry date
7 days is too short for large files. 30 days gives clients time without chasing.
Set a password if delivering unreleased or private footage
Brand videos, sensitive content, or footage the couple wants to control.
Test the download link yourself before sending
Open it in a private browser window. Confirm it loads and the download starts.
Confirm file sizes are visible on the download page
Clients on mobile need to know before they tap Download.
Enable download notification if your platform supports it
Knowing when the client has downloaded confirms delivery without chasing.
Copy the delivery link to your notes or project tracker
You will need it again when they ask for a re-send.
Step 5
Send the delivery email from your business email address
Not a personal Gmail. Keeps it professional and searchable.
Use the couple's names in the subject line
Example: Sarah and James — your wedding films are ready.
Include the download link prominently in the email body
Not buried. First thing they see after the greeting.
State the link expiry date clearly
Tell them exactly when it expires. Do not make them wonder.
List every deliverable in the email
Feature film, highlight, speeches — one line per file. Sets expectations.
Include download instructions for less tech-savvy clients
Optional but reduces support emails. One sentence is enough.
Remind them to back up their files once downloaded
One sentence. Saves a painful conversation later.
Set expectations for revision requests if applicable
Confirm your policy: how many revisions, turnaround time, what counts as a revision.
Thank them and personalise the message
One sentence specific to their day. Not a template. They will notice.
BCC yourself on the delivery email
Creates a timestamped record of delivery in your own inbox.
Step 6
Back up the final exported files to external storage
Two copies minimum: local drive and offsite or cloud backup.
Archive the project file (Premiere, FCPX, Resolve)
Link to the correct media paths before archiving. Saves hours if revisions come in.
Archive or offload raw footage to long-term storage
Check your contract: are you obligated to hold raw footage and for how long?
Mark the project as delivered in your project tracker
CRM, spreadsheet, or whatever system you use.
Send a follow-up email 7 days after delivery
Check they received everything and downloaded successfully. Short and warm.
Request a testimonial or Google review
Best time to ask: 1-2 weeks after delivery when they are still excited.
Ask if they are happy for you to share a clip on social media
Get explicit permission before posting anything publicly.
Add couple to annual anniversary email list
Optional but high ROI for repeat referrals. One email per year on their anniversary.
Invoice any outstanding balance and confirm payment received
Final payment typically due on or before delivery.
Update your portfolio with clips from this wedding if permitted
Add to your website, Vimeo, or reel if you have permission.
