Wedding videography contract template.

Section 1

Parties and engagement

Agreement

This agreement is between [VIDEOGRAPHER FULL NAME] trading as [BUSINESS NAME] ("Videographer") and [CLIENT FULL NAME(S)] ("Client"), collectively referred to as "the Parties." This agreement covers the videography services for the wedding of [PARTNER 1 FULL NAME] and [PARTNER 2 FULL NAME] on [WEDDING DATE] at [VENUE NAME AND ADDRESS].

Replace all bracketed placeholders before sending.

Booking confirmation

This agreement becomes binding when the Client returns a signed copy and pays the deposit outlined in Section 3. The Videographer will hold the date exclusively for the Client upon receipt of both.
Section 2

Services and coverage

Coverage hours

The Videographer will provide coverage from [START TIME] to [END TIME] on the wedding day, covering approximately [X] hours. Coverage begins at [GETTING READY LOCATION] and concludes at [END LOCATION]. Any extension beyond the agreed hours will be charged at [CURRENCY][HOURLY RATE] per hour, invoiced and paid before footage is delivered.

Coverage locations

The Videographer will travel to the following locations as part of this agreement: - Getting ready: [ADDRESS] - Ceremony: [ADDRESS] - Reception: [ADDRESS] Travel beyond [X] miles from [VIDEOGRAPHER BASE LOCATION] will incur an additional travel fee of [CURRENCY][RATE] per mile, or [CURRENCY][FLAT FEE], agreed in writing before the wedding day.

Second shooter

[CHOOSE ONE] Option A: A second shooter is included in this package at no additional cost. Option B: A second shooter is not included. The Videographer will be the sole camera operator on the day. Option C: A second shooter can be arranged at an additional cost of [CURRENCY][AMOUNT], payable as part of the final balance.

Delete the options that do not apply.

Vendor coordination

The Videographer will work alongside the couple's photographer, DJ, band, and coordinator. The Client is responsible for informing all vendors that a videographer will be present and sharing the Videographer's contact details in advance of the wedding day.
Section 3

Payment

Total fee

The total fee for the services described in this agreement is [CURRENCY][TOTAL AMOUNT].

Deposit

A non-refundable deposit of [CURRENCY][DEPOSIT AMOUNT] ([X]% of the total fee) is due upon signing this agreement. The deposit secures the date and is non-refundable under any circumstances, including cancellation by the Client.

Final balance

The remaining balance of [CURRENCY][BALANCE AMOUNT] is due [X] days before the wedding date. The Videographer reserves the right to withhold delivery of all finished films until the final balance is received in full.

Common terms are 30 or 14 days before the wedding.

Payment methods

Payment may be made by [LIST ACCEPTED METHODS: bank transfer / card / PayPal etc.]. All payments must reference the invoice number. The Videographer will confirm receipt of all payments in writing within 2 business days.

Late payment

If the final balance is not received by the due date, the Videographer reserves the right to release the date to other clients. In this case, the deposit will be forfeited. The Videographer will send one written reminder before exercising this right.
Section 4

Deliverables

Films included

This package includes the following deliverables: [LIST YOUR DELIVERABLES, e.g.] - Highlight film: approximately [X] minutes - Full ceremony edit: uncut, full length - Speeches: uncut, full length - [Any additional deliverables] All films will be delivered digitally via download link. [Include or remove: A USB drive can be provided at an additional cost of [CURRENCY][AMOUNT].]

List only what is included in the quoted price.

Delivery format

All films will be delivered in H.264 or H.265 format at [1080p / 4K] resolution, unless otherwise agreed in writing. ProRes or other archival formats can be provided at an additional cost.

Delivery timeline

The Videographer aims to deliver all finished films within [X] weeks of the wedding date. This timeline is an estimate and may be affected by exceptional circumstances. The Videographer will notify the Client in writing if the timeline is expected to change significantly. Expedited delivery within [X] weeks can be arranged at an additional cost of [CURRENCY][AMOUNT], subject to availability.

Typical timelines are 6-12 weeks. Be honest about your current workload when quoting.

Download and storage

The Client is responsible for downloading and backing up their films promptly upon receipt of the delivery link. Download links will expire [X] days after delivery. The Videographer is not obligated to store or re-deliver finished films after this period, though may do so at their discretion.

Raw footage

[CHOOSE ONE] Option A: Raw footage is not included in this package and will not be provided. Option B: Raw footage can be purchased as an add-on at [CURRENCY][AMOUNT]. It will be delivered on a hard drive, which must be returned or paid for at [CURRENCY][AMOUNT].

Most videographers do not include raw footage as standard.

Section 5

Revisions

Included revisions

This package includes [X] round(s) of revisions to the highlight film. A revision is defined as a single consolidated list of changes submitted in writing. The Videographer will implement reasonable edit requests such as reordering sequences, changing music, or adjusting colour. Revision requests must be submitted within [X] days of receiving the draft. Requests submitted after this period may be treated as a new revision round.

1-2 revision rounds is standard. Define clearly what counts as a revision vs. a re-edit.

Scope of revisions

Revisions do not include reshooting footage, colour grading changes that require re-rendering the entire film, or requests that require licensing new music. A revision that constitutes a substantial re-edit of the film may be quoted as additional work at the Videographer's discretion.

Additional revisions

Additional revision rounds beyond those included in this package can be arranged at [CURRENCY][AMOUNT] per round, invoiced and paid before work begins.
Section 6

Usage rights

Client usage rights

Upon receipt of full payment, the Client is granted a non-exclusive, royalty-free licence to use the finished films for personal, non-commercial purposes. This includes sharing on personal social media, private screenings, and personal storage. The Client may not sell, license, or use the films for commercial purposes without prior written consent from the Videographer.

Videographer usage rights

The Videographer retains the copyright to all footage and finished films. The Videographer may use footage from the wedding for portfolio, promotional, and educational purposes, including on their website, social media, and in showreels, unless the Client requests otherwise in writing before the wedding date. The Videographer will not sell footage to third parties.

If the client wants full privacy, add a clause excluding all promotional use and adjust your price accordingly.

Music licensing

Music included in finished films is licensed for the intended delivery format. If the Client intends to upload films to platforms that enforce content ID (such as YouTube), the Videographer will use commercially licensed music. The Videographer cannot guarantee that all music will pass automated content detection systems on all platforms.
Section 7

Cancellation and postponement

Cancellation by the Client

If the Client cancels this agreement, the following applies: - More than [90] days before the wedding: deposit is forfeited. No further payment is due. - Between [30] and [90] days before the wedding: deposit is forfeited plus [X]% of the remaining balance is due. - Less than [30] days before the wedding: full payment is due, as the Videographer is unlikely to rebook the date. Cancellation must be made in writing. The date of cancellation is the date the written notice is received.

Adjust the thresholds and percentages to match your business model.

Postponement by the Client

If the wedding is postponed, the Videographer will transfer all payments to the new date if availability permits, at no extra charge, provided the Client gives at least [X] days' notice. If the Videographer is not available on the new date, the booking will be treated as a cancellation as per the clause above.

Cancellation by the Videographer

In the unlikely event the Videographer must cancel due to serious illness, injury, or emergency beyond their control, the Videographer will make every reasonable effort to find a replacement videographer of comparable quality at no extra cost to the Client. If no replacement is found, all payments made will be refunded in full. This constitutes the full extent of the Videographer's liability in this scenario.
Section 8

Liability and general terms

Equipment failure

The Videographer will bring backup equipment and takes every reasonable precaution against equipment failure. In the event of equipment failure that results in partial or total loss of footage, the Videographer's liability is limited to a pro-rata refund of the fee paid, based on the proportion of agreed coverage that was not delivered.

Venue and access restrictions

The Videographer cannot be held responsible for restrictions imposed by venues, officiants, or other third parties that limit filming access. The Client is responsible for checking venue restrictions in advance and informing the Videographer in writing before the wedding day.

Force majeure

Neither party shall be liable for failure to perform obligations under this agreement where such failure is caused by circumstances beyond their reasonable control, including but not limited to: severe weather, natural disaster, pandemic, government restriction, or venue closure.

Entire agreement

This agreement constitutes the entire agreement between the Parties and supersedes all prior discussions, representations, or commitments. Any amendments must be agreed in writing by both Parties.

Governing law

This agreement is governed by the laws of [COUNTRY / STATE / JURISDICTION]. Any disputes arising from this agreement will be subject to the exclusive jurisdiction of the courts of [JURISDICTION].
